What we collect

For bookings and lane food orders, we collect the customer name, required telephone number, booking or order details, transaction status, and any note the customer or staff member chooses to provide. We do not collect a customer email address in this system.

Kingpin Staff App

The Staff App is available only to authorized Kingpin team members. Staff accounts contain a username, display name, role, active status, and a securely hashed password. The raw password is used only to authenticate the sign-in request and is not retained by Kingpin. If a team member chooses to save a password with Apple Password AutoFill or iCloud Keychain, Apple manages that saved credential.

The Staff App displays the booking and food-order information needed for venue operations. It may temporarily process a network address to limit repeated failed sign-in attempts and protect the service. The app does not use customer or staff information for advertising, cross-app tracking, or marketing analytics.

How it is used

The information is used to manage lanes, bookings, cancellations, food orders, and staff follow-up. Booking details are emailed only to approved Kingpin staff for operations and are not used for marketing.

Camera and gift card QR codes

When the optional gift card scanner is available and a staff member opens it, camera frames are processed only on the device and are not uploaded or stored by Kingpin. The gift card identifier decoded from a QR code is sent to the authorized gift card service only to verify or complete the staff-requested gift card operation.

Retention

Customer-identifying booking and order information is retained for up to 24 months and is then anonymized. Operational amounts, timestamps, lane counts, and non-personal status history may be retained where required for accounting, disputes, and legal obligations. Staff account records are retained while access is authorized and may be deactivated when access is no longer required.

Staff mailbox cleanup

Authorized staff review Kingpin booking-notification messages every quarter and remove messages older than 24 months from Inbox, Sent, and Trash. This website does not automatically connect to or delete Gmail messages.
